Realistic Retention Roadmap: Creating Your Plan for Sustainable Success, by Cara Silletto, Magnet Culture

In today’s challenging workforce market, changes must be made to stabilize staffing and return to a higher quality of care and profitability. But how exactly do we move forward when we’re already short-staffed and have no time to determine which changes will be most beneficial or ultimately implement those changes to create that better place to work?

In this valuable session, Magnet Culture will provide an audit of the current effectiveness and attractiveness of your organization as an employer, and then support your creation of a realistic retention roadmap identifying which areas of the business can function as they are, which need a simple tune-up, and which must go into the shop for an extensive overhaul.

Learning Objectives:

  • Identify gaps between where our culture is today versus where it needs to be to effectively attract and retain talent.
  • Prioritize potential retention initiatives to gain the greatest ROI with the smallest time commitment.
  • Discuss a plan of action for retention initiatives that will make a difference.

History and All that Jazz Tour
Explore Indianapolis’ African-American historical areas and structures. This tour includes the Madam Walker Legacy Center built in honor of America’s First self-made millionaire, Madam C.J. Walker. You will also visit the Crispus Attucks Museum, which celebrates outstanding contributions made by African-Americans. This tour is a combination of walking and van transportation. Fee $45.  Register as part of the ESPA Registration process.

Indy Monuments & Mural Selfie Tour

Indianapolis has the greatest number of monuments in the country outside of DC.  Join for a fun and interesting tour of Indy Monuments & Murals as you learn about the history of some of the most notable historic monuments and murals in town. There will be plenty of photo and “selfie” opportunities. Transportation included. Fee: $40. Register as part of the ESPA Registration process.

Indy Brew Pass Tour

Day Drinking…why not?!  Sample, tour, learn the brewing process while stopping at 3-4 members of the Indy Craft Pass. While on the tour, you will learn about how the Indy Craft Pass was developed, how it works, how our partners engage with Visit Indy, and lessons learned along the way!  Fee: $40. Register as part of the ESPA Registration process.

Experience Mass Avenue/Bottleworks

Mass Ave features many of Indy’s most well-known establishments and attractions. Art galleries, boutiques, restaurants, and bars punctuate this cultural district, one of the closest neighborhoods from the heart of downtown. Along Mass Ave you will also find the Bottleworks District which includes The Garage Food Hall, Living Room Movie Theatre, Pins Mechanical for bowling and entertainment, Woodhouse Day Spa, Bottleworks Hotel, and more.  An ESPA-hosted shuttle bus will run loops from the Hyatt during this evening and drop off at 2 stops along Mass Ave so that attendees can choose a restaurant along the way or head directly to Bottleworks. You can create your own Mass Ave experience!  We will also have some dinner sign up sheets on site for a few of the restaurants in the area so you can join up with fellow members. 

Indiana’s Oldest Bar – The Slippery Noodle Inn & Blues

Enjoy dinner (bar food!) and music as you visit the oldest bar (est. 1850) in Indiana that has been praised to be one of the nation’s top blues bars by Rolling Stone magazine. Walk around and enjoy the live music from several stages and keep your eyes posted for some remaining bullet slugs from the famous Brady & Dillinger gangs during the Prohibition.   No reservations required.  (Walking distance from the Hyatt.)

Ice skate next to the Gainbridge Fieldhouse at the Bicentennial Unity Plaza where you are greeted by captivating landscapes and art installations as you glide down the ice.

This will be an opportunity to dine with fellow ESPA members at an Indy classic.  Harry & Izzy’s is an independent, upscale American Grill located in the heart of downtown Indianapolis, within walking distance of the Hyatt. Its ambiance exudes class and sophistication in a comfortable setting. Mind Tripping Show

The Mind Tripping Show is an intimate, interactive, theatrical show by husband-and-wife duo, Christian and Katalina. Mind Reading, Influence, Psychological Illusions, and Comedy all come together to create a fantastic night of delightful fun! Indiana Repertory Theater Performance of Fannie: The Music and Life of Fannie Lou Hamer

Directly across from the Hyatt, experience a great theatrical performance at the Indiana Reperatory Theater.  Rising from humble roots as the daughter of a Mississippi sharecropper, Fannie Lou Hamer became a leader in the struggle for voting rights at a time when Civil Rights were far from Secure. Her grit and determination to keep fighting, through bad times as well as good, shows what it means to be a true revolutionary. You’ll be clapping and crying and singing along with a show that is part theatre, part gospel revival, and all inspiration. Developing a Relationship with Public Safety, Part 1

Working with a conference goes much deeper than BEOs, meals and sleeping rooms. A relationship with your local law enforcement is key when looking at the big picture of a conference in your city. Listen to some best practices that have been developed with the Indianapolis Metropolitan Police Department and their CVB and partners to create a better awareness of events that come to their city.

DEIA – Including ‘Accessibility’

Hear from peers on the evolving definition of accessibility as part of DEI initiatives. The ESPA Accessibility Task Force will share their latest resource meant to guide members on the full meaning of accessibility and how destinations and venues can evaluate their own attributes in this area. We will also delve into case studies to learn how destinations, venues, and hotels are working with community partners to provide accessible solutions for their clients.

High-Level Sports and Your Community: Making the Service Connection

What are the keys to providing great service to high-level sports events? This panel (Indy Car, NCAA, USA Gymnastics) will share their thoughts on what city services (hotels, convention center, CVB) can do to ease the planning process and help them focus on having an excellent sports event in your city.

Using Technology to Serve Up Smarter Destination Experiences

In this session, we’ll look at what to expect from a convention traveler and how it may differ from past years. Conventions are more intentional and thoughtful now and so are the attendees. Zartico will detail how the destination can learn more from each event, communicate with attendees in a more personal way and how create new KPIs for the effectiveness of each event in the community. How can we track convention movement through the community? Who books outside the block, where do they go at night and where do they spend their time and money? Do they extend their stays? Learn more in this informative session.

Personal Growth: The Road to Services

Join this conversation on the many paths to get to your current services role—bonus points for taking a non-traditional path! This session is good for newbies as it showcases the great things about working in services. It’s also a great session for the experienced servicer who wants to share how they got to where they are today. There are so many directions and transferable skill sets that lead into our industry. How does your non-traditional path into services help you now when handling your events or groups?

Sometimes as service professionals we are tasked with creating flyers, art, or collateral for groups and events without the support of a marketing department. In this hands-on workshop, we will discuss how marketing plays a role in our careers and discover tools that can help us if this area is not our expertise. After discussing the ideas, follow along with a marketing professional to create your very own event flyer on CANVA. Learn tips and tricks on how to create polished collateral on your own!

Developing a Relationship with Public Safety, Part 2

During this session, we will dive deeper into different risk/safety scenarios that could take place in your community and have roundtable discussions on how to anticipate and mediate any situations that arise to be better prepared for future conferences.

Join us for an interactive session where you will participate in a hands-on butter grazing board and mocktail workshop led by a member of the esteemed Hyatt culinary team and learn about curating creative and authentic signature experiences that are unique to your destination. (Additional fee of $55.00 required)

During this interactive session, attendees will have the opportunity for conversation with your peers on the topics that matter most! Learn what others are doing, share your experiences, gain new insights and ideas. You can select from a variety of emphasis areas:

1. On Location: Indiana Convention Center and Lucas Oil Stadium

Two venues, overseen by one board with 566,600 sq. ft. of contiguous exhibit space. From tradeshows and conventions to dirt bikes and concerts, walk behind the scenes with Event Services Director Chad Wilke and his team to see how they make it all happen.  Featured venues:

Indiana Convention Center from standard tradeshows to semi-truck driving championships, to fire fighters with live fire drills and everything in between, let alone hosting the entirety of the NCAA Championships during COVID in a bubble. This Center has seen it all.

Lucas Oil Stadium from NFL Football games, to loading in tons of dirt for Motorcross Supercross, to building Olympic sized pools for USA Olympic Swimming Trials and closing out the year with not 1, not 2 but 3 nights of Taylor Swift, Lucas Oil Stadium is preparing for an epic 2024.

Note: This tour will have an ample amount of walking.  Please be prepared for this, and wear comfortable shoes.

2. A Look at Unique Indy Event Venues:  White River State Park

Walk over to the beautiful White River State Park and take a look at the TCU Amphitheater and discuss how they host outdoor events in the different seasons. The next stop will take you to the Indiana State Museum for a discussion on how the museum incorporates local history into their events. The tour ends at the Eiteljorg Museum of American Indians and Western Art for a look into how they tie the culture and representation of indigenous people into the events and catering at the venue.  Space is limited and will be first come-first served.

3. A Cultural Event Case Study: Sacred Places at The Children’s Museum

The Indianapolis Children’s Museum is the world’s largest children’s museum with more than 1 million visitors annually. They recently opened a new exhibit, Sacred Places where you can explore sites that are sacred to communities around the world. The opening night event included speakers, music and food from various cultures and religions from around the globe. The museum and catering staff will discuss this opening event and how the food needed to represent the various cultures and religious dietary requirements. A tour of the exhibit will be included. Transportation provided.  Space is limited and will be first come-first served.

4. Operations through Renovations @ the Gainbridge Fieldhouse

Home to the NBA Pacers and managed by Pacers Sports & Entertainment, Gainbridge Fieldhouse went through a multi-million dollar renovation and new construction, all while hosting NBA games, concerts and numerous events. How do you continue with the show amid renovations? Hear from a panel on how they navigated these challenges at this local Indy venue.

    • The team at Visit Indy has a not-to-miss Welcome Reception planned for all attendees. Themed All Roads Lead to Indy, many fun surprises are in store for a great evening that will mark the start of this year’s Conference.

The following are the ESPA Conference Individual registration fees. Registration, but not payment, must be completed by November 30 to lock in the advance discount rate. Payment for registration received before November 30 must be received prior to the start of the conference: (Note: Members whose companies are Organizational members of ESPA, and who are registering 3+ people see below for group registration fees.)

Note there are two optional sessions that will require an additional fee. The Leaders Session will incur a $65 fee and the food & beverage session will have a $50 fee.

Conference registration cancellations received in writing by December 17 are eligible for a 50% refund on the ESPA Registration fee only. There are no refunds for cancellations received after this date; this includes cancellations that occur due to weather or other day-of air travel delays or cancellations as it is understood that ESPA has already included you in counts for F&B and other arrangements and therefore is responsible for all costs related to attendance.  Substitutions are accepted.

ESPA will offer a Quiet Space for those who may be sensitive to light or sound, or who just need a quiet break between sessions to rejuvenate without the need to go to your room to do it.

Healthy Meals and Lots of Water! In addition to the above programs, we will be sure to select healthy options for attendee meals and will have lots of H20 available! Be sure to bring a portable water bottle so you can keep hydrated as you ramp up those steps!

Let’s get walking! The On the Road with Indy Workshops taking place on Sunday will all be walking tours. This is a great opportunity to see the city, learn and get your body moving! (We will offer transportation options for anyone requiring mobility assistance for the tours.)
